Setup Email - Email Templates Fields & Variables
This article pertains to Havenstar version 3.35 and above.
Quick Intro
This article is a reference for the available dynamic fields and variables that you can use to create personalised email templates when dispatching different types of documents to customers e.g. invoices, statements, contracts.
Where to Find It
The Setup Email screen can be accessed from your Nav Bar, in the Configuration section.
How to Use It
Use the drop-down to select which template you want to configure, then make the changes as appropriate, and click the yellow Save button to save your changes.
Do not make changes to the Email/SMTP configuration at the top of the screen, unless you're absolute sure what you're doing.
Templates
General Customer Fields
The following variables are available for multiple template types, indicated as such in each section as relevant:
%BOATNAME% - the boat name.
%CUSTCODE% - the customer's Havenstar account code.
%FORENAME% - the customer's forename.
%FULLNAME% - the customer's full name including title/salutation.
%SURNAME% - the customer's surname, or business name.
%TITLE% - the customer's title.
%SALUTATION% - the customer's salutation.
Bookings
This Bookings template is no longer used. Emailing bookings now defaults to the new HTML templates, or simply using the default mail client e.g. Outlook.
Contracts
%CONTRACTNO% - the contract ID number.
Invoices/Credit Notes
%INVOICENO%' - the invoice number.
%DOCNO% - the document number.
%DOCTYPE% - simply the word "Invoice" or "Credit Note" as appropriate.
plus General Customer fields.
Receipts
%RECEIPTNO% - the receipt number.
The rest are the same as Invoices/Credit Notes.
Statements
General Customer fields only.
Works Orders
