Account and Boat Redirection Guide

Introduction

Many real-world marina operations involve multi-boat accounts, or boats moving from one account to another - charter companies, brokerage and sales, family-owned or managed boats.  Havenstar can handle such scenarios in a number of ways.

All of these fuctions are managed and performed within the Set-up Boats (F10) screen.

The Difference Between Accounts and Boats

Accounts are uniquely identified by an account code, and are primarily associated with financial records. Some key points:
  1. Any given account code belongs to a single unique Contact record.
  2. Invoices and other transactions belong to an Account.
  3. An Account may have one, many, or zero Boats associated with it.
Boats are uniquely identified by a boat number - this is an internal system ID that is not necessarily linked to an external, real-world registration number. Some key points:
  1. Boats belong to a single Account, but can be moved between accounts.
  2. Boats can be associated with movement and reservation records, such as Bookings and Visits.


Redirecting Accounts

Key points

  1. All invoices and other transactions raised are automatically sent to the parent or master account.
  2. Boats maintain separate contact information.

How Do I Create a New Redirection?

  1. Go to the Finance Details tab.
  2. Click the customer button in the Account Redirection section.
  3. Select the account to redirect to.

How Do I Clear a Redirection?

  1. Select the child boat.
  2. Go back to the Finance Details tab in the Set-up Boats screen.
  3. Click the pencil button in the Account Direction Details section to clear the redirection.
  4. If the boats were sharing a Primary Contact, you will be given two options:
    1. Create a duplicate - this will create a copy of the master account's primary contact and assign it to this boat with a new, unique account code.
    2. Clear it - this will leave the boat without a functional account. You will need to assign a new primary contact before you can invoice it, give it new a contact, etc.


Transferring boats

Key Points

  1. The boat can be transferred and entirely incorporated into another existing account, or split off into its own brand new account.
  2. Existing invoices belong to the account, and will stay with the old account by default.

How Do I Transfer a Boat?

  1. Go to the Finance Details tab.
  2. Click the transfer boat button in the Account Redirection Details section.
  3. You will be asked to confirm whether it is going to an existing account, or a new account.
    1. Existing Account - you will be presented with an account search screen to select the account to transfer to.
    2. New Account - you will be prompted to enter the new account name (surname or company name). Once the transfer is complete, you will need to add the rest of the necessary account details e.g. email address, and other contact information.

Why does my boat name show a squiggly line?

If you see an account where the boat name shows **~~** then this is because the account is without a boat. This is a placeholder boat, and is created automatically if you transfer the last/only boat off an account.

The customer acquires a new boat needs to be moved to the account, you can simply update the Boat Name and other details - dimensions, make and model, etc. You can also transfer another, existing boat to this account using the same Transfer Boat function from the other account.
