Printer and Printing Preferences

Printer and Printing Preferences

Quick Intro

Havenstar allows users to define their own printing preferences for various document types, including which printer to use, and how many copies to print each time. This article describes how to change these preferences.

Where To Find It

Use the the menu bar at the top of the main Havenstar window, and go to Program -> User Options, and then to the Printer Selection tab.

Changing the Printer

The left-most drop-down selectors let you set your preferred printer for each document type. Selecting the Use Windows Default Printer option will tell Havenstar to use whatever your PC has as its default printer (you can check and change this in the Windows Printer Settings).

The Microsoft Print to PDF option will redirect print jobs to a PDF file, instead of physically printing them. If you select this option, you will be prompted to choose where to save the PDF file, each time you initiate a print job from Havenstar.

Once you've made all the changes you need, you can click the Save button to save your changes (note that this will close the User Options screen). If you've made a mistake, or want to cancel your changes, you can click the Cancel button to undo.

Changing the Number of Copies

Use the number editor to change how many copies should be printed for each document type. Setting the number to 0 will tell Havenstar to ask you each time you initiate a print job. The following workflows will initiate a print job:
  1. Raise Invoice - raising a single, ad hoc invoice (setting the number of copies to 1 or more will therefore automatically print a copy every time you raise an invoice).
  2. Print New Invoices - finalising a batch of unposted invoice lines and raising invoices in bulk.
  3. Quotation - raising a single, ad hoc quote/quotation.
  4. Print Statements - printing a batch of statements.
  5. Print Contracts - printing a batch of contracts.
  6. Print Receipts - printing a batch of receipts and/or refunds.

Changing Other Settings

You can also change the paper size, orientation, and printer tray (if your printer has multiple trays). Typically, you will be using A4 paper in portrait orientation, but these options can be changed if needed.

Notes & Tips

  1. If you can't see your printer in the list, first check that it's correctly connected and available on your PC, by going to the Windows Printer Settings. If the printer isn't showing up in the Windows settings, contact your IT support in the first instance.
