Quick Intro
The Havenstar DocuSign module can be used to dispatch and manage contracts via DocuSign in bulk, or on an individual basis. Once a contract has been sent to DocuSign, its status can be monitored and managed directly in Havenstar. This article explains how to do this.
This article assumes that the contract(s) in question have already been dispatched to DocuSign, and you are monitoring their progress.
Where To Find It
Pick any relevant customer who's renewal contract has already been dispatched through DocuSign, and open their Renewal Contract, which is in the Contracts section in the Nav Bar. Then, click the orange pen button to open the DocuSign Status screen.
Monitoring the DocuSign Status
The status screen will appear, as per the screenshot below:
Here, you can check whether the overall status of the DocuSign envelope, whether or not the contract has been signed, the date of the last status change, and the narrative for the current status.
Resending the Contract
From the DocuSign status screen, you can resend the document to the same, or a different, email address, using the Action buttons labelled as such:
- Resend - resend a copy of the same contract via DocuSign to the same customer email address.
- Resend to Different Email - send a copy of the contract to a different email address.
Voiding the Docusign Envelope
From the DocuSign status screen, you can also Void the DocuSign envelope. This will recall the document from the customer, and prevent them from signing it. If the contract needs to be reissued, it will need to be sent again using the Resend function.
Checking the Signed Contract
Once the customer has signed the contract in DocuSign, the signed PDF will be downloaded automatically, and stored against their account. You can find it by going to the Set-up Boats (F10) screen, and going to the Documents tab.
DocuSign Status Lifecycle
The contract will go through the following statuses:
- Not Sent - the contract is in the queue but Havenstar has not yet sent the contract to DocuSign.
- Not Processed - the contract has been sent to DocuSign.
- Signed/Completed - the customer has signed the contract via DocuSign.
- Voided - the contract has been voided/recalled from DocuSign.
Notes & Tips
- The DocuSign integration service checks and processes changes at regular intervals, so changes may not be shown immediately.
