Sage 50 Data Export - Exporting Transactions & Allocations Manually

Quick Intro

The Havenstar Sage 50 data export facility lets you export transactions and allocations to Sage 50 (aka Sage Line 50). This can be done automatically, but this article explains how to do this as part of a manual batch process.

Where To Find It

Go to your Nav Bar and open the Export Transactions screen, which will be in the Accounts section. If it's not in your Nav Bar already, you can search for it using the Nav Bar Search.

Getting Started

Reviewing the List

Set the date range that you want to review using the date widgets at the top, and then click Refresh to reload the list. This date range can be as big or small as you like, as only unexported transactions will be shown.

The top grid shows Transactions dated within this range, and the bottom grid shows Allocations created within this range. Review and confirm the list as you need.

Alert
By default, the list won't show transactions that have already been exported, but Sage also won't stop you from creating copies of the same transactions, so review this list carefully.



Starting the Export

If you prefer, individual transactions or allocations can be exported one-by-one, by double-clicking the relevant row. Once you do this, that record will be immediately sent to Sage.

Otherwise, once you're happy, click the Export button to start the process. Havenstar will work through the Transactions first, one-by-one, in order, before moving on to the Allocations. This process cannot be interrupted once started.

Once a transaction is exported, it is marked as exported in Havenstar, so that it doesn't get exported again.

Encountering an Error

Warning
If you receive an unexpected error message half-way through the export process - DO NOT CLICK EXPORT AGAIN. Make a note or take a screenshot of the error message, and contact Havenstar support at support@havenstar.com, or log a ticket in the Help Centre.

Notes & Tips

  1. Customer accounts must be mapped to an account in Sage before they can be exported. For new Havenstar customers, this is managed automatically, but if you need to manage this manually, check and update the External Code field in the Set-up Boats (F10) screen, in the Customer Details tab.
