Creating new users in Havenstar (System administrator or IT support)

Creating new users in Havenstar (System administrator or IT support)

Quick Intro

Before a person can access Havenstar, a user account must be created for them. This article explains how to create a new user and assign the correct access based on your system’s authentication method.

Where To Find It

Open Havenstar, and using the Nav Bar, go to:
Configuration → Set Up Users

(If you cannot see this option, use the search bar to find Set Up Users.)

Understanding Authentication Methods

Havenstar supports two login methods. The method used depends on how your system has been configured:

  • Windows Authentication
Users log in automatically using their Windows account (no separate username/password required - sometimes linked to their Windows account and referred to as Single Sign-On / SSO).
  • SQL Authentication
Users log in using a Havenstar username and password.

When creating a new user, you will need to know which method your system uses. This is typically the same method you use to log in.
If you are unsure, please contact support for assistance.

Creating a User

  1. Go to Configuration → Set Up Users
  2. Click Add at the bottom of the window
  3. Set Auth Type to Windows Auth or SQL Auth (depending on login method)
    1. For Windows Auth, under Auth Options, click Search to search for the user’s name, then select the correct account.
    2. For SQL Auth, enter the user’s Name, Login Name and Password
  4. If using Menu Profiles, select the appropriate profile from the dropdown
  5. Configure EPoS (if applicable - these options will only appear if EPOS is licensed):
    • Enter and confirm a password, or
    • Tick "No password"
  6. Under Access, ensure Can Access is selected
  7. Complete any additional access permissions as required
  8. Click Save

Notes & Tips

  • If a user cannot be found when using Windows Authentication, ensure they have an active Windows account.
  • Only assign EPoS passwords if the user will be using the till system.
  • Access permissions should be kept minimal and only granted as needed.
  • If Set Up Users is not visible, this may be due to your own access permissions.
